Yocto Project Developer Meetups are community-driven events designed to:
• Advocate for and spread awareness of the Yocto Project and OpenEmbedded.
• Share knowledge, best practices, and experiences between developers.
• Encourage collaboration and connect local communities.

Developer meetups are not commercial events. They exist to benefit the Yocto Project and OpenEmbedded developer community.

Hosting Requirements

Third-party organisations are welcome (and encouraged!) to host a Yocto Project Developer Meetup if they meet the following requirements.

Content & CFP

  • Talks must be related to Yocto Project/OpenEmbedded and technical/educational in nature. Talks are not for commercial promotion or sales pitches.
  • Minimum 2 talks, maximum 5 talks
  • Speakers must be from different organisations (to avoid vendor-only agendas).

Call for Proposals

  • Hosts are encouraged to open a public Call for Proposals for a minimum of 4 weeks. We suggest closing the CFP 3 weeks prior to the event to support marketing efforts.
  • Draft schedules must be shared and approved with Yocto Project a minimum of 3 weeks prior to your meetup. Schedules should include talk titles, abstracts, speaker names, and affiliations.

Logistics

Event Costs

All costs (venue, refreshments, food, A/V, etc.) are the responsibility of the hosting organisation. Refreshments are not required, however, we strongly recommend feeding the group (and advertising this!).

Registration

  • A registration form is required. The hosting organisation may set up an online event page and manage registration (we suggest using meetup.com due to their existing embedded communities). If you are unable to manage registration, please notify events@yoctoproject.org and we may be able to help (depending on availability).
  • You must submit the event to the Yocto Project events page via the self-submission form for further advertising. We recommend adding a graphic (Yocto Project must approve all graphics featuring the YP logo).
  • All attendee contact details collected must be shared with the Yocto Project. Please be mindful of privacy and data laws when collecting attendee details, and refrain from spamming attendees post event – again, this must stay focused on a technical community initiative.
  • We encourage host organizations to share their meetups on social media for promotion. Yocto Project will reshare/advertise on LinkedIn. Please notify events@yoctoproject.org with your planned social media post schedule.

Promotion Requirements & Opportunities

Timeline

We recommend advertising the event a minimum of 6 weeks in advance of the event date. You do not need to have your schedule finalized to promote registration/submit the event form to the YP website.

Post-Event

  • Host organisations are encouraged to share slides and recordings (if available) with the Yocto Project, and attendees post event.
  • A short event report (topics covered, number of attendees, photos if possible) should be provided within 2 weeks after the event. Event reports will live on the Yocto Project website – you are welcome to use the link for promotion once the page is created.

Branding & Messaging

  • When creating event graphics, you are required to abide by the Yocto Project branding guide with use of the official Yocto Project logos and event branding materials (provided upon request). All graphics featuring the Yocto Project logo must be approved prior to their distribution. 
  • Speakers are welcome to use their own slide templates or the Yocto Project template.
  • Meetups are required to open with a pre-recorded video introduction from a Yocto Project representative to maintain consistent community messaging. (Coming Soon!).
