Yocto Project Advisory Board

30 June 2017

Voting Process

Board members discussed the persistent lack of quorum available for voting
at meetings. A proposal has been discussed on the mailing list to enable
those who attend the meetings to be able to vote on issues without
requiring a full project quorum. After some discussion, the proposal was
amended to enable votes by email from members who are not present, but to
put a time limit on them, as was suggested in the discussion by Otavio,
Bill, and others. The final process proposed is:



- send out agenda ahead of time, noting potential for a vote

- discuss issue in meeting and note in minutes after meeting

- if a quorum is present, vote in the meeting

- if no quorum, enable members not present to vote, but limit the vote to
two weeks after minutes are sent

- for any vote request, VOTE appears in subject line in all caps

- if no response, members automatically abstain



This meeting happened to have a quorum, so a vote was taken and approved.



Finance

The project is currently tracking to plan with respect to finances. Lieu
will send out a link to the wiki page that shows progress through the year
compared to the planned budget.



ELCE

The planning process for ELCE is beginning. Everyone's travel is changing,
and Tracey mentioned that both she and Jefro were not guaranteed to be able
to attend to set up and run the booth, as well as to run DevDay. Nithya,
Armin, and Philip both confirmed that they would attend. The board
discussed and approved the use of community budget to send Tracey or Jefro
if they don’t get travel. Lieu mentioned that Wind River would not be able
to send anyone this year, which is very unfortunate given that Wind River
has contributed tremendously to the effort every year so far.



YP Compatible & Member Badges

Tracey has been working nonstop on the compatible and member badges and
presented designs on the list prior to the meeting. The overall response
has been extremely positive. Joel has suggested pins as well. Tracey will
make sure the designs can be used in print, online, and in physical form,
and the group agreed to delegate to Tracey and Joel to handle further
refinements.

Bill prefers that the generic/non-member identified version of the
Compatible badge not be used going forward.



Backgrounder/brochure update

The backgrounder needs to be updated to reflect Platinum and other new
members. In the first iteration, Andreea from Wind River did a ton of
research and followup to get testimonials and stories from each member org.
Tracey will send out requests for information, esp for platinum & gold and
a request from silver members.



Membership

Tracey is working with Linux Foundation on membership, now with Philip des
Autels. Tracey has worked on a forensic project to find out which companies
are using Yocto Project through examining git commit logs, bug reports, and
other sources. She currently has a list of over 700 companies known to be
using YP in some capacity. Joel and a few other members offered to help
with this endeavor, and Linux Foundation has offered to compare this list
with their own register to identify organizations who may wish to join. LF
also agreed to work on the pitch deck and participate in calls to fine tune
pitch materials for new members.



Compatibility

Richard reports that now have a script to validate layers for YP Compatible
status. This is a main feature of version 2 of the Compatible program. All
members are encouraged to run their layers through this script, and it will
be eventually be required to validate new layers. Richard is working on
documentation for this script. Currently it validates distro and BSP
layers, although there are some questions remaining with regard to
software/feature layers with respect to checksums. The program will be
featured prominently with the new website at the end of Q3.



Website

The website is moving from the design phase to implementation, and Tracey
has been working nonstop on both design and content. It is planned to be
ready by Oct 1.



Note: Tracey is going on sabbatical from now until early September.
